Online check-in for holiday rentals in Menorca, Mallorca, Ibiza and Formentera
Letting a property in Menorca, Mallorca, Ibiza and Formentera requires you to report who is staying to the State Secretariat for Security, with the identity details of every traveller and within twenty-four hours of arrival, under Royal Decree 933/2021.
Only one person holds the information required for the report: the guest. What usually happens is that you ask for it over WhatsApp, receive passport photos at odd hours and copy them by hand. That is where the hours go and where the errors start: a mistyped document number comes back rejected by the Ministry three days later, once the deadline has passed.
We turn it into a link the guest fills in.
How it works
1. You invite your guest
Pick the property, enter your guest’s name and email address and the arrival and departure dates. You can also leave a message for the end — usually the keybox code or the arrival instructions. An email goes out with the link, in your guest’s language.
2. Your guest registers every traveller
They open the link and add one record per person staying, themselves included: name, document, date of birth, nationality, and the relationship where minors are travelling. The dropdowns are the Ministry’s own official tables, and every field is checked against its rules before being accepted, so whatever is filed afterwards is already known to be valid.
3. And then they get your message
The message you left does not appear until the form is complete. It is not a trick: it is what turns an awkward request into something the guest settles on their own, before arriving, without you chasing anyone. Whoever needs the door code fills in the form.
What remains yours
You file with the Ministry. The bound party is the host, with their own establishment code and credentials, and no tool changes that. What you receive is the stay completed and validated, ready for you to review, add what the traveller cannot know, and file from hospedajes.menorca.me.
The duty is not delegated either. If a guest does not complete their check-in, you can still enter the details by hand and you still have twenty-four hours from arrival. That is why outstanding stays are flagged as the arrival approaches.
What you need to start
You need to be registered as a host on the Ministry of the Interior’s electronic office: the host code, one establishment code per property, and the web-service credentials, which are not the same as the portal ones. That registration is done with a digital certificate or Cl@ve and no third party can do it for you, but we guide you through it and check everything is in order before the first filing.
If your property is not yet correctly registered for tourist letting, that gets reviewed first. Irregular letting in the Balearics carries consequences well beyond a traveller report.
